Warehouse time tracking — offline QR kiosk, 3 shifts

A 4000 m² hall, 67 staff, 3 shifts a day, “1 bar” WiFi inside. Workers without smartphones, two gates. TimeHunter in Android kiosk mode: a tablet at each gate, works offline, QR instead of RFID.

QR kiosk — Android tablet at the gate

A warehouse doesn’t need 67 smartphones. Just 2 Android tablets (one per gate) with the WorkTrack Scanner app. Worker arrives, scans their QR (laminated paper card — €0.10 per person), starts work. Leaves — scans again. No €8 RFID cards, no €500 readers.

Old Android tablet is enough

Samsung Galaxy Tab A 2019 (used €40) is enough. App is 8 MB.

QR instead of RFID — save €6000

RFID: €8 × 67 + 2× €500 reader = €1536. QR: €0.10 × 67 + 2× €40 tablet = €87. Saved €1449 upfront.

Offline mode

App queues scans locally. Sync when WiFi/LTE returns (typically evening).

Multi-gate

Each gate = a separate tablet. The system knows which gate the worker used (access control).

Photo check-in — anti-fraud in 4 seconds

The most common warehouse fraud: “a buddy will scan my QR, I’ll come an hour later”. The photo addon (€0.50/user/month) fixes this in 4 seconds: the QR kiosk auto-snaps with the tablet camera. Admin sees a daily selfie gallery in the panel. Doubtful? Click → request explanation.

Real case (LogiPL warehouse, Łódź): in the first month of photo check-in, 4 workers caught punching in for each other. Annual saving: 4 × 8h × 250 days × €6/h = €48k. Addon cost: 67 × €0.50 × 12 = €400/year. ROI: 124x.

24/7 shifts — automatic night premiums

Warehouse runs non-stop: shift I (6-14), II (14-22), III (22-6). System detects night hours (22:00-6:00) and adds the premium (20% PL, 10% CZ). Shift-III worker doing 8h gets 100% pay + 20% night = effectively 120%. Monthly report shows it per worker.

Export to SAP / payroll

Warehouses often use SAP. TimeHunter exports hours in XML/CSV compatible with SAP HR/Payroll. Polish warehouses: Comarch Optima, Symfonia. Czech: Pohoda, Helios, Money S3. Monthly export takes 30 seconds — no more manual retyping.

Frequently asked questions

What if a worker has no smartphone?
A laminated paper QR card is enough (€0.10/each). Worker keeps it in their wallet and scans at the gate kiosk. Most of our warehouse customers do exactly this.
Does the Android kiosk work without internet?
Yes. WorkTrack Scanner has full offline mode. Scans save locally in SQLite on the device. Auto-sync when WiFi/LTE returns. Tested 8h offline — no record loss.
How does photo anti-fraud work?
The QR kiosk auto-snaps with the tablet’s front camera at scan. The photo carries a watermark (GPS, timestamp, worker ID) — can’t be swapped. Admin reviews the gallery in the panel, flags doubtful ones.
Does it support 3 shifts/day (24/7)?
Yes. Monthly schedule shows all shifts. System detects night shift (22:00-6:00), adds the premium. Monthly report has separate columns for shifts I/II/III.
Can I have a kiosk at each of 2 gates?
Yes. Each tablet = a separate device. In the admin panel you see which gate each worker used (access control). Multi-gate included in the Pro plan.
Is the CSV export compatible with SAP HR?
Yes. CSV/XML format is configurable — set columns to match your system (SAP HR, local payroll). Templates for 8 popular programs included in the Pro plan.
Can I track OHS training hours separately?
Yes. OHS = a separate event type (alongside Work, Break, Errand). Monthly report shows training hours per worker. Required by labor inspection in logistics.
How much for a 70-person warehouse?
Pro plan: €4 × 70 = €280/month. Photo addon: €0.50 × 70 = €35/month. Total: €315/month. Hardware (one-off): 2× used tablet €40 + 70× QR card €0.10 = €87.
