For agencies

TimeHunter for marketing & creative agencies — time per client + PDF

Client X has a 40h/month retainer but burned 52h? Client Y got 8h instead of the promised 20h? TimeHunter shows everything live — with retainer-overage alerts.

How an agency uses TimeHunter

Retainer = client + monthly h budget

Each client has an hours budget (40h/month). System shows utilization and alerts at 80%.

Rate per role: designer/copy/PM/dev

Each role has its rate; the client sees a breakdown by people and tasks.

Monthly client PDF

End of month: 1 click = PDF with hours, descriptions and amount to invoice. Client gets it ready.

Kanban for projects (addon)

Each client has its task board with drag & drop, subtasks, labels.

Agency roles — designer, copy, PM, dev

A creative agency bills by role: senior designer €45/h, junior designer €22/h, copywriter €37/h, PM €55/h, developer €50/h. TimeHunter lets you assign a default role per employee and per-role rates per client. The system picks the right rate at session start.

Designer (UI/UX/graphics)

Senior + junior with different rates. Auto-detected at start.

Copywriter

Blog/social/web copy — usually lower rate than design.

Project Manager

Highest rate (client pays for oversight and strategy).

Developer

Front/back/devops — different rates per specialty.

Utilization — the key agency metric

Utilization = % billable / total time. Healthy agency = 70-80% per person. Below 60% = bleeding money. Above 90% = burnout risk. TimeHunter shows utilization per person, week, month — react early before burnout or project losses.

Utilization dashboard

Everyone in 1 view: green >70%, yellow 60-70%, red <60%.

Burnout alert >90%

Notify PM if someone exceeds 90% for 3 weeks running.

Client utilization

Share of team time per client. Time to plan new clients.

Project budgets — alerts before deficit

Client pays €7500 for a project budgeted at 150h. After 100h you see “67% budget used, only 40% of scope done”. TimeHunter alerts early — time to talk scope change, additional invoicing or speed-up. Without it you find out too late, when the client refuses to pay more.

Frequently asked questions

Can I connect TimeHunter to Slack?
Yes — via webhook. Each event (session start, leave approval) can be pushed to any Slack channel.
Can I see utilization per employee (billable %)?
Yes. The “Utilization” report shows % billable vs non-billable per person, per week, per month.
Can I track freelancer work?
Yes. Freelancer = a separate employee type (contractor). Can log time without access to other modules (leave, payroll). Per-person hourly rate. Freelancer invoice PDF = separate export.
Can I bill retainer + overage?
Yes. Each client has a retainer (e.g. 40h/month). Above that, overage shown separately in the PDF — client sees retainer (40h × €50 = €2000) + overage (12h × €55 = €660). Clear.
Can the client have a white-label login portal?
White-label in Enterprise: own URL (e.g. time.youragency.com), own logo, own colors. Client logs in and sees only their hours in real time.
How much for a 12-person agency?
Pro plan: €4 × 12 = €48/month. Project billing: €0.50 × 12 = €6/month. Kanban: €0.50 × 12 = €6/month. AI: €1.25 × 12 = €15/month. Total: €75/month.
